Terms of Use and Handling of Personal Information

Personal Information Protection Policy

Race Inc. (hereafter referred to as "the Company") has defined and vows to implement the following Personal Information Protection Policy as it continues its personnel recruitment consulting services, website operations, business consulting, public relations activities, and other businesses.

All Company executives and employees work together as one to implement this policy and the Company strives to appropriately protect personal information by requiring that all companies that the Company does business with understand and cooperate with this Personal Information Protection Policy.

  1. The Company only utilizes or provides the personal information that it has acquired for the purposes agreed to by the owners of said personal information, and does not utilize or provide it for any other purposes. The Company also implements measures to ensure this.
  2. The Company takes appropriate measures to prevent the leakage, loss, or destruction of personal information and to respond in the event that leakage, loss, or destruction does occur.
  3. The Company rapidly responds to any complaints or inquiries regarding the handling of personal information.
  4. In operating its personal information protection management system for the protection of personal information, the Company complies with all personal information-related laws, national guidelines, and other regulations.
  5. The Company has appointed a personal information protection manager and provided him/her with operation and responsibility authority. The Company has built and manages a personal information protection management system. The Company also performs periodic audits to review and revise operation procedures as necessary, and strives to make ongoing improvements.

Handling of Personal Information

1. Purpose of use of personal information

Race Inc. (hereafter referred to as "the Company") uses the personal information it collects for the following purposes.

  1. (1) Personal information received through business activities
    • (A) Personnel referral services
      Provision of information when referring appropriate personnel to Company clients wishing to make mid-career hires, etc. (hereafter referred to as "personnel referral service")
    • (B) New graduate consulting
      Contacting persons planning to secure employment upon graduation when consigned to do so by customers desiring to hire new graduates
    • (C) CRM solutions business
      Marketing and promotion support using clients' customer (end user) information
    • (D) Real estate consulting
      Contacting real estate owners, intermediaries, etc., when consigned to do so by customers (corporate or individual) desiring real estate consulting
    • (E) Other
      Provision of information related to the Race Forum, other seminars and events, services, etc. (see respective websites for details)
  2. (2) Personal information received when handling inquiries
    • Contacting customers
    • Providing accurate answers to customers' inquiries
  3. (3) Personal information received from client managers
    • Operation and transaction related client contact, service, and management

    Collected personal information may also be used to create statistical materials. When these materials are made, information that can be used to identify individuals will be deleted, so it will not be possible to identify individuals.

2. Provision of personal information to third parties

Race Inc. (hereafter referred to as "the Company") uses the personal information it collects for the following purposes.

  1. (1) Personal information received through business activities
    • (A) Personnel referral services
      The Company recognizes the great importance of the personal information it is entrusted with by those who visit its website and those who contact it by telephone or in person (hereafter referred to as "personal information owners") in order to use the Company's personnel referral services. The Company complies with personal information protection laws and the Company's own Personal Information Protection Policy when handling said personal information, and maintains the confidentiality of said personal information. Personal information may be supplied with the consent of the personal information owner as indicated below. The parties to which personal information are provided conclude personal information agreements with the Company.
      • Purpose of supplying of information: Provision of personnel referral services to client companies
      • Supplied personal information: Name, place of employment, occupation, position in company, age, work history, interview evaluation, etc.
      • Means/methods of supplying personal information: Directly transferring in printed form, and sending via email in password-protected form
      • Types and attributes of organizations to which personal information is provided: Client companies' related parties
    • (B) New graduate consulting
      The personal information received by the Company while providing new graduate consulting is supplied to the consigning company. It is not supplied to third parties without the consent of the person to whom the personal data belongs.
    • (C) CRM solutions
      The personal information received by the Company while providing CRM solutions is supplied to the consigning company. It is not supplied to third parties without the consent of the person to whom the personal data belongs.
    • (D) Real estate consulting
      The personal information received by the Company while providing real estate consulting is supplied to the consigning company. It is not supplied to third parties without the consent of the person to whom the personal data belongs.
    • (E) Other
      The personal information received by the Company through its other business activities is not supplied to third parties without the consent of the person to whom the personal data belongs. If it becomes necessary to provide the information to a third party due to changes to operation contents, etc., it will only be provided after receiving the consent of the person to whom the personal data belongs, having specified what information will be provided, to whom it will be provided, and how it will be provided.
  2. (2) Provision of personal information to third parties other than the parties indicated in (1)

    None of the personal information acquired by the Company in (A), (B), (C), or other activities will be supplied to third parties except in any of the following situations.

    • When the person to whom the personal data belongs grants his/her consent to provide the personal information
    • When required by law
    • When it is necessary to protect people's (or corporations') lives, health, or property, and it is difficult to obtain the consent of the person to whom the personal data belongs
    • When there is a special need to do so for the improvement of public health or for the promotion of the healthy rearing of children, and it is difficult to obtain the consent of the person to whom the personal data belongs
    • When cooperation is required for the conducting of legally required duties by national or local governments, or parties whom they have entrusted with the carrying out of duties, and in which receiving consent from the personal information owner would impede the carrying out of said duties

3. Purpose of joint use of personal information

Personal information entrusted to the Company will be used jointly with Company affiliates.

    Name, place of employment, occupation, position in company, age, work history, interview evaluation, etc.

4. Consignment of handling of personal information

When it is necessary to do so, the Company may consign the handling of personal information to third parties. When it does so, it requires that third parties meet sufficient personal information protection standards, will only provide personal information to third parties that have concluded confidentiality agreements, and will only perform consignment within the stipulated usage purpose scope.

5. Voluntary nature of entrusting the Company with personal information and results of decision not to entrust the Company with personal information

The personal information acquired by the Company is all voluntarily supplied. However, if necessary personal information is not acquired, it may present impediments to the procedures and processes carried out by the Company and indicated in the section on the purpose of use of personal information, and may render the Company incapable of providing its services.

6. Notice of purpose of personal information use, disclosure, corrections, additions, deletions, cessation of use, erasure, or cessation of provision to third parties

Personal information owners or their representatives may request a notice of the purpose of the use, disclosure, corrections, additions, deletions, cessation of use, erasure, or cessation of provision of their personal information owned by the Company to third parties. See the "Contact point and method of requesting notice or disclosure of purpose of use of personal information" below for the request of contact information and request methods. In order to prevent personal information leakage and the rewriting of information, etc., documentation/materials which can be used to verify that the person issuing the request is the personal information owner or his/her representative must be submitted. See the "Contact point and method of requesting notice or disclosure of purpose of use of personal information" regarding the contents of said documentation/materials. Although processing fees will not be applied for the issuing of notices of purpose of use, the person making the request will be responsible for postal fees involved in the sending of requested information. "Personal information subject to disclosure" refers to the information indicated in items (1) through (5) in "Section 1. Purpose of use of personal information."

    • How to issue a request
      First, contact the contact point in the "Contact Point" section below.
      We will confirm that the person issuing the request is the personal information owner and will then handle the request.
    • Required materials
      • (1) Request form stipulated by the Company (this form will be supplied after the personal information owner contacts the contact point in the "Contact Point" section below)
      • (2) Documentation proving that the person making the request is the personal information owner (driver's license, passport, health insurance card, or pension book)
    • In-person requests
      Present the original of either (1) or (2).
    • Sending materials by mail
      Send a copy of either (1) or (2) to the address indicated in the "Contact Point" section. (The objective is to confirm the name of the person issuing the request, so other information, such as the date of birth, may be blacked out.)
    • Request by a representative
      Send (1) and a copy of one of the documents in (2) for the person making the request together with one document that serves as evidence of the relationship with the person making the request (family register, certificate of registered matters concerning adult guardianship, delegation document) to the address indicated in the "Contact Point" section.

      Processing fee: There is no processing fee. However, travel expenses and postal expenses related to the request are borne by the party making the request.

      Please note that we cannot meet requests for disclosure, etc., in the following cases. If any of these reasons apply, we will issue a notification of the reason(s).
      • When there is risk to the life, health, property, or other rights and interests of the personal information owner or a third party
      • When there is potential for serious interference with the appropriate conduct of operations by the Company
      • When doing so would violate other laws, regulations, etc.
      • When there are deficiencies or errors in the specified documentation, etc., and the deficiencies or errors are not addressed despite being requested
      • When the information is not personal information subject to disclosure (personal information consigned by companies the Company does business with, etc.)
      • When it is not possible to confirm that the request is from the personal information owner
